About the client
Our client is one of the renowned Japanese Shipping company and a 100% subsidiary of a well-established Japanese MNC brand. This company was incorporated in Singapore in 2010 and their fleet is composed of modern high quality ships and has been meeting customers’ marine transportation needs by providing steady and safe operations.
They are currently looking for a HR Assistant Manager/Senior Executive to join the HR and Admin division in Singapore office.
Responsibilities:
HR:
Assist HRAD Manager in the establishment of proper HR system, policies, programs to enhance HRAD level as well as organizational development. Assist in the management and formulation of compensation and benefits schemes and strategies to attract and retain talent. Participate in the formulation and implementation of HR projects and initiatives. Responsible for the maintenance of HR policies and related rules and regulations including but not limited to employee handbook, intranet, etc. Assist in management of employee performance appraisal and bonus calculation, formulating schemes and structures.
Responsible for all aspects of recruitment process, including screening of resume, interview arrangement and selection (where necessary). Responsible for the preparation of letters, including but not limited to letters of appointment, confirmation, promotion, etc
Responsible for payroll processing of all local employees with payroll software. Management of e-Portal leave system. Childcare Leave/NS/Maternity Leave application & records management. Management of all Work-Permit/EP (application / issuance / recording / renewal). Management of staff and dependents’ details under AIA Insurance.
Liaise with MSIG for company’s insurance, including but not limited to public liability, fire, work injury and travel insurance. Management of and liaising with corporate clinic for annual health screening. Prepare tax submission for tax clearance & annual tax assessments. Assist in expatriate management eg. secondment agreement, accommodation arrangement, work pass applications, salary, income tax, medical, repatriation etc. Management of staff training (liaise with providers / documentation preparation / allocation & record / analysis). Involve in the planning and execution of company events and CSR activities for HRAD. Handle periodical surveys from government agencies, etc as well as annual salary surveys. Handle monthly reports to Finance Division. Verification of invoices relating to HR/Admin/IT expenses and payments to parent and sister companies. HR data management and updates. Provide support in other HR matters where necessary
Admin/IT:
Assist in supervision of the work of Admin/IT Assistant and provide back-up support where necessary. Provide support in other Admin/IT matters where necessary
Requirements:
Diploma or Degree in Business Studies/HR and at least 4-5 years’ relevant industry experience. Proficient in MS Office applications, Payroll Software and e-Leave Software. Experience as a HR generalist and able to handle Payroll and Employee Benefits is a necessary.
Experience working in a Japanese firm before is much advantageous as to liaise with Japanese expats and understand the requirements well.
Should be Positive, Approachable, Proactive & Open-Minded with strong communication skills. Should be strong in multi-tasking and meticulous to details and keen to participate in HR initiatives and projects with independent approach with team skills.
