Our client located in the West of Singapore in the Building design and construction industry is seeking for a Japanese English speaking Project Secretary / Admin (Contract) to join their team.
Provides full secretarial support to Directors/Managers or project teams
Manages and maintains appointments, schedules meetings and keeps the calendar up-to-date for Directors/Managers;
Assists in the preparation of presentation slides, monthly reports for internal/external meetings;
Takes minutes in Japanese & English and puts up minutes of meeting and distributes to all parties concerned;
Coordinates meetings/WebEx conference including sending out meeting invitations and the booking of meeting venues;
Assists in following up on correspondence by composing and mailing to the parties concerned;
Assists in putting up management and other reports in a timely manner;
Generates and updates records of all office assets for tracking and handover purposes such as office printers, digital cameras, walkie-talkies, IT related items issued to staff;
Assists in ensuring the timely updates of timesheets by Department employees;
Assists the Directors/Managers in their claims related to travelling/general expense claims via online submission and in submitting the originals to Accounts Department;
Assumes the role of document controller on smaller projects;
Assists in compiling documents for tender submissions;
The ideal candidate should possess the following ;
Bilingual in both English and Japanese language due to job requirements to translate, reply email correspondence / documents in Japanese and to liaise with clients vendors in Japan.Min 4 -5 years of experience in Project Secretary / Project Admin rolesProficient in MS office / Adobe SAP is a plus
